Administration - Enhancements to Additional Allowances

This release introduces the following enhancements to Additional Allowances, laying the groundwork for a future Finance module update that will enable automatic pay updates based on the most recent allowance version - removing the need for manual adjustments.
  1. Automatic version management to ensure seamless handling of allowance versions without date overlaps or gaps.
  2. Removal of the “Is Editable” option - versions are now locked to their defined date ranges to maintain pay accuracy and prevent manual edits.
  3. Allowance version history displayed within staff contracts for improved visibility and tracking.

1. Automatic version management for Additional Allowances

Config > Administration > Additional Allowances

This release introduces automatic version control for Additional Allowances to ensure only one valid rate exists at any given time and to prevent overlapping or missing date ranges between versions.

When a new version of an Additional Allowance is created, the system will now automatically close the current version by setting its end date to the day before the new version’s start date.

To maintain data accuracy:

  • Users will be prevented from creating or editing versions that overlap in date ranges.
  • Once dates are correctly aligned, users can successfully save the new allowance version.

Additional Allowance Version Management Rules:

  • Editable versions: The allowance amount and end date can be edited, but the start date is locked once set.
  • Deletable versions: When a version is deleted, the previous version’s end date automatically extends to cover the deleted period.
  • Automatic version closure: Adding a new version automatically ends the previous one the day before the new version’s start date.
  • Unique start dates: No two versions can share the same start date.
  • Linked end dates: Amending a version’s end date adjusts the start date of the next version, if one exists.
  • Overlap prevention: Extending a version triggers a validation check to prevent date overlaps.

2. Editing Restrictions for Additional Allowance Versions

Config > Administration > Additional Allowances

The option to mark Versions as editable has been removed to ensure that once created, each version remains fixed for its defined date range and cannot be altered to modify staff pay. As a result, the Is Editable checkbox in the Add/Edit Version popup and the Is Editable column in the Versions table have been removed.

Note: The only time staff pay can be edited is when an allowance started before the version’s start date.

3. Additional Allowance History in Staff Contracts

Staff > Staff Details > Contracts

This release also introduces a new Additional Allowance Version History popup within a staff member’s contract details. When Pay Item Type is set to Additional Allowance, and a Payment Type is selected, a new Version History icon is enabled.

Clicking the icon opens a popup showing a table of all available versions for that specified Payment Type.

Note: If no versions exist for the Payment Type selected, the popup will display the message: “No additional allowance history found.”
